A task is something someone has to do by a certain time: call back, send the quote, check on a delivery. It can belong to a contact, a deal or a company, and it has an owner, a due date and an optional reminder. CRM → Tasks is each person's list of what is due.
When you'd use it #
Promised a call back
Add a task on the contact for tomorrow at 11, with a reminder ten minutes before.
Nothing slips at month end
Open the Overdue tab first thing each morning.
Hand work to a teammate
Assign the task to them and it appears in their list and reminds them, not you.
Add and finish tasks #
-
Add a task where the work is
Contact, deal and company pages each have a Tasks list with a quick-add box. Type the title, pick a due date such as Today, Tomorrow or Next week, or a date of your own, and set the priority. -
Choose who does it
A task goes to the record's owner unless you pick someone else. Assigning to others needs the matching permission in your role. -
Work your list
The Tasks tab splits your tasks into Today, Overdue, Upcoming and Done. Admins can switch the list to any teammate. -
Tick it off
Completing a task records who did it and when, and adds it to the history of the contact or deal it belongs to.
Reminders #
Set a reminder time on a task and its owner is told then: in the app, by email, and as a push notification if they use the mobile app. A task that passes its due date without being done is marked overdue once, which a flow or your own system can act on. Each person can turn email or push reminders off under their profile's notification settings.
Calendar and meetings #
The Calendar view on the Tasks tab shows a month or a week with your tasks and your meetings together. Meetings booked through Calendly or Google Calendar appear automatically. Press New meeting to add one by hand, such as a walk-in visit or a phone appointment. It is then treated like any other booking, so flows can wait for it.
