A deal is one sale you are working on: a person, what it is worth, and the stage it has reached. The Pipeline tab under CRM shows your deals as a board, one column per stage. The columns are the same stages you already set on contacts, so the board and the Stage column on Contacts always agree.
When you'd use it #
A weekly sales review
Open the board, read the count and total value at the top of each column, and look at whatever has sat in one stage too long.
Several things to sell
Keep a separate pipeline for admissions and one for renewals, each with its own stages.
Knowing what is won
Mark deals won or lost, and the reports show your win rate and what is still likely to close.
Work the board #
-
Pick a pipeline
If you have more than one, choose it at the top of the board. Each column shows how many deals it holds and their total value. -
Drag a card to move it
Drop a deal into another column to move it to that stage, or higher or lower in the same column to reorder it. Each card shows the deal's title, contact, value, owner, next task and days in its stage. -
Switch to the list view
The list shows the same deals as rows you can filter by stage, owner, expected close month and value. -
Open a deal
Its page shows the deal's details, the contact and company, a stage bar you can click to move it, its tasks, your own notes about it, and everything that has happened to it.
Won and lost #
On a deal's page, press Won or Lost. Lost asks for a short reason, which the reports group by. Either one moves the deal to a closing stage, stops the contact's follow-up flows, and takes the deal out of the open forecast. Dragging a closed deal back into an ordinary stage reopens it.
How the Stage column follows deals #
| Field | What it does |
|---|---|
| Picking one of your stages | Wherever you set a stage on a contact, whether on Contacts, in the inbox or in a flow, Customer Pro moves that person's open deal on that pipeline. If they have no open deal there, it opens one titled after them. |
| Picking a built-in stage | New, Qualified, Unqualified and Nurturing are not pipeline columns. Setting one changes the contact's status and leaves their deals where they are. |
| More than one deal | The Stage column shows the deal that was worked on most recently while any is open. Once every deal is closed it shows the last one closed, so a customer who bought still reads Won. |
Pipelines & stages settings #
Pipelines and their stages are managed on Settings → Pipelines & stages, the page that used to be called Stages. Only people whose role can manage pipelines can change it.
| Field | What it does |
|---|---|
| Pipelines | Add, rename and reorder pipelines. One is the default, used whenever a stage is picked without a pipeline in mind. |
| Probability | The chance, from 0 to 100, that a deal in this stage closes as won. The forecast multiplies each deal's value by it. |
| Outcome | On a stage that stops follow-ups, say whether reaching it means the deal was won or lost. |
| Round-robin owners | Choose teammates to take turns owning new deals on a pipeline. Each new deal goes to the next person in the list, who also becomes the contact's owner. |
