How a Phaltan transport company stopped losing bookings after office hours

Bookings came in on five different phones and went cold at night. One WhatsApp number, an AI agent with the rate card and automatic trip updates fixed that.

A family-run goods transport company in Phaltan moves agricultural produce, sugar and industrial goods to Pune, Mumbai and across Maharashtra. Today it answers every booking enquiry on WhatsApp in under a minute, day or night, from one business number.

The problem

Bookings came in by phone calls and on the personal WhatsApp numbers of the owner, the office staff and the drivers.

  • An enquiry that arrived at night, or while the team was loading a truck, went unanswered, and the trader booked someone else.

  • Customers called again and again to ask "where is my truck?"

  • Rate quotes, LR copies and payment reminders were scattered across different phones.

  • Nobody knew how many enquiries came in, or how many turned into trips.

What CustomerPro set up

  1. One business WhatsApp number with a shared inbox. The office team sees every chat, and no customer depends on one person's phone.

  2. An AI agent trained on the routes, truck types and rate card. It answers "Phaltan to Pune, 10 tonne, how much?" straight away in Marathi, Hindi or English, and collects the pickup date, load and destination.

  3. Every enquiry saved as a lead in a pipeline: Enquiry → Quoted → Booked → Delivered → Paid.

  4. Trip updates sent automatically with approved WhatsApp templates: truck assigned (with vehicle and driver number), loaded, in transit and delivered, with the LR copy attached.

  5. Payment reminders that go out on their own when a delivered trip is still unpaid after the agreed number of days.

  6. Broadcasts to regular traders before the sugarcane season and the festival rush, announcing truck availability and return-load rates.

What the customer sees

How a booking moves

The booking pipeline: enquiry, quoted, booked, loaded and in transit, delivered, paid

Each stage sends its own WhatsApp update, so nobody has to remember to.

The message template

Trip updates go out as an approved WhatsApp utility template. The numbers in braces are filled in for each trip:

Hi {{1}}, your load {{2}} is now {{3}}.
Truck {{4}}, driver {{5}}.
Reply here if you need anything.

Sending updates from your own software

If the company already keeps trips in transport software, that software can send the same update through the CustomerPro API with one request:

curl -X POST https://customerpro.in/api/v1/messages/template \
  -H "x-client-id: $CLIENT_ID" \
  -H "x-client-secret: $CLIENT_SECRET" \
  -H "Content-Type: application/json" \
  -H "Idempotency-Key: lr-2231-in-transit" \
  -d '{
    "to": "919876543210",
    "template_name": "trip_update",
    "language": "en",
    "components": [
      {"type": "body", "parameters": [
        {"type": "text", "text": "Ramesh"},
        {"type": "text", "text": "LR 2231 (sugar, 10 ton)"},
        {"type": "text", "text": "in transit"},
        {"type": "text", "text": "MH 11 AB 4321"},
        {"type": "text", "text": "Santosh, 98XXXXXX21"}
      ]}
    ]
  }'

The Idempotency-Key means a retried request never sends the update twice.

What changed

  • Replies in seconds, not hours. With the AI agent answering first, CustomerPro workspaces like this one reply in a median of 3 to 4 seconds, and 98 to 99% of customer messages get a reply within a minute.

  • No more lost night-time bookings. The AI agent replies to every enquiry in under a minute, and the quote is waiting in the pipeline when the owner checks in.

  • Far fewer "where is my truck?" calls. Customers get each update on WhatsApp before they think to ask.

  • Payments come in sooner. Reminders go out on time without anyone having to remember to call.

  • The owner can see the business. Every enquiry, quote and trip sits in one pipeline, so they know how many enquiries came in and how many became trips.

Who this works for

Any transport, logistics or packers-and-movers business whose bookings arrive on the phone and get lost when the team is busy on the road.
